Primary Purpose:
Ensure efficient operation of school administrative office, provide clerical services for school’s administrative staff, coordinate and evaluate the performance of clerical staff.

 

Qualifications: 

  • Ability to maintain confidentiality
  • High school diploma or GED
  • Proficient keyboarding skills
  • Effective organization, communication, and interpersonal skills
  • Ability to delegate responsibilities
  • Knowledge of basic accounting principles
  • One to three years administrative assistant experience, preferably in a public education environment
  • Ability to follow written instructions
  • Ability to operate a phone system
  • Understanding of school policies and operations

 

Major Responsibilities and Duties:

  1. Campus and administrator operations:
  • Support principal and assistant principals
  • Prepare written correspondence
  • Create, maintain, and process forms
  • Manage principal calendar
  • Plan catering and meeting arrangements
  • Organize campus events
  • Maintenance requests
  • Operational Equipment - make service calls, refill toner, refill paper, print, laminate, etc.

 

  1. Financial operations, HR and Risk Management Liaison:
  • Maintain budget
  • Manage and generate purchase orders, requisitions and quotes
  • Manage cash flow 
  • Monitor and process personnel time records including leave requests and reports.  
  • Compile information and submit to central office according to established deadlines.
  • FMLA, new hire assistance and resignations.

 

  1. Campus Registrar:
  • Process enrollment of new and returning students, including all guardian communication
  • Process withdrawing students

 

  1. Scheduling and Report Cards:
  • Create and maintain master schedule
  • Schedule students
  • Maintain teacher and room information
  • Report Card process
  • Progress Report process

 

  1. PEIMS state reporting:
  • Verify accuracy of data reported to TEA for students, staff, and finance
  • PEIMS coding entry in student information system

 

  1. Guardian and Community communication:
  • Incoming guardian phone calls and emails
  • Campus Facebook page
  • Campus webpage calendar

 

  1. Records Management:
  • Student records request and fulfillment using TREx and out of state methods
  • Records Retention Liaison for campus

 

  1. All other duties as assigned.

Equipment Use:

Computer, printer, copier, and calculator

 

Working Conditions:
May require standing for long periods of time and frequent stooping, standing, stooping, bending, pulling, keyboarding, pushing, overhead reaching, walking, and bending. Maintain emotional control under stress, work with frequent interruptions. Move small stacks of textbooks, media equipment, desks, and other classroom equipment. Occasional district wide travel. Occasional prolonged hours before and after school as well as weekends may be necessary. Must have the ability to lift 25 pounds to waist height.
