Primary Purpose:
Provide reception and clerical assistance for the efficient operation of the front office. Monitor employee absences to ensure classes have substitute coverage.

 

Qualifications:

  • High school diploma or GED
  • Proficient keyboarding skills
  • Effective organization, communication, and interpersonal skills
  • Ability to follow written instructions
  • Ability to multi-task
  • Ability to operate a multi-line phone system
  • One year of experience in office setting

 

Major Responsibilities and Duties:

  1. Responsible for the administration of the AESOP Automated Substitute and Absence system
  2. Ensure daily that as many absences as possible have qualified substitutes obtained through the AESOP system.
  3. Contact substitute’s directly to fill absence vacancies when an absence does not have a substitute assigned.
  4. Coordinate absences with staff members to ensure that absences are posted in a timely manner to the AESOP system.
  5. Prepare class rosters for substitutes on a daily basis
  6. Issue temporary badges and keys to substitutes
  7. Prepare and maintain substitute folders with Emergency Operation Plan information
  8. Print daily absence log for substitute signature
  9. Reconcile all staff absences in a timely manner in the AESOP system
  10. Train office interns to answer phone, greet parents, run errands, and perform deliveries throughout the campus.
  11. Receive and direct incoming calls, take reliable messages, and route to appropriate staff.
  12. Greet and direct visitors, including substitute teachers, to appropriate location.
  13. Assist public, staff, and students as needed.
  14. Maintain visitor log and issue visitor passes utilizing Raptor System.
  15. Check out visitors utilizing Raptor System.
  16. Assignments may include: updating cumulative folders, textbook checkout/check in and preparation of emergency folders.
  17. Prepare mailings and labels using personal computer. Assist with mail outs.
  18. Maintain computerized files using personal computer including reports, employee roster, and mailing lists.
  19. Sort & distribute mail, messages, and other documents.
  20. Assist with the receipt and distribution of student materials, including homework requests.
  21. Provide clerical assistance as needed.
  22. Maintain confidentiality.
  23. Able to work productively with frequent interruptions
  24. Assist with student registration
  25. Other duties as assigned
