Primary Purpose:
Maintain accurate attendance records for the campus.

Qualifications: 

  • Ability to maintain confidentiality.
  • High school diploma or GED
  • Proficient keyboarding skills
  • Effective organization, communication, and interpersonal skills
  • Ability to follow written instructions (State and local mandates)
  • Ability to operate a phone system.
  • One year of experience in office setting
  • Ability to welcome the public while also maintaining security protocols.
  • Follow and adhere to legal and local policies.

 

Major Responsibilities and Duties:

  1. Daily Attendance Data - Collect, verify accuracy of and enter attendance data to established databases, create and maintain documentation for student absences.
  2. Attendance Reporting - Prepare and print daily attendance reports, verify Six Weeks Attendance reports, maintain daily Raptor sign in/out log, run and verify attendance error scans.
  3. Parent Communication - Receiving, responding to, and maintaining communication, including absence documentation from guardians and healthcare providers.
  4. Attendance Monitoring - Track teacher daily attendance submission and report issues to campus administrator
  5. Excessive Absence and Truancy Process - Legal and local requirements with administrator oversight
  6. Attendance Records - maintain records retention documentation and storage.
  7. Student Records - Maintain digital student folders and fulfill student records requests.

 

Shared Responsibility and Duties:

  1. Phone calls - Receive and direct incoming calls, take reliable messages.
  2. Digital communication - manage campus email, ride changes, and route to appropriate staff.
  3. Greeter - Answer doorbell, greet and direct visitors to appropriate location.
  4. Enrollment - Assist with enrollment and withdrawal processes
  5. Visitors - Maintain visitor log, issue visitor passes, and check out visitors utilizing Raptor System
  6. Tardies & Check Out for Students - Sign in tardy students utilizing Raptor System
  7. Payment - Manage incoming payments through InTouch.
  8. Operational Equipment - make service calls, refill toner, refill paper, print, laminate, etc.
  9. Mail - Prepare mailings and labels, assist with mail outs, sort & distribute mail, messages, and other documents.
  10. Materials - Assist with the receipt and distribution of ordered materials.
  11. Maintenance Requests - School Dude
  12. Arrival & Dismissal Duties - As assigned.
  13. Cover duties - As assigned, including nurse clinic.
  14. Absence Management - Guest Educator process
  15. Volunteers - Monitor completion of volunteer background checks
  16. Emergency Information - Create and maintain emergency information.
  17. Other duties as assigned.

Computer, telephone, copier, laminator

 

Working Conditions:
Maintain emotional control under stress, work with frequent interruptions. Repetitive hand motions and prolonged use of computer. Position requires frequent bending, stooping, twisting, pulling, overhead reaching, sitting, and keyboarding.  Position requires the ability to lift 25 pounds to waist high.
